01
A contract repository that follows the work
A college may have one vendor serving several departments, a central purchasing team, and different people responsible for local delivery. A document folder captures the file; it rarely explains who needs to approve the next change or whether a renewal decision is already underway.
Use contract types and configurable fields to describe the school, department, agreement owner, and commercial details your institution needs. Search saved contract records and available document text, then open the current version. Give colleagues the access their role requires rather than relying on one administrator to forward every attachment.
02
Plan renewals around the academic calendar
An annual software license can renew before a department has finished planning next year’s budget. A facilities agreement may also require a separate notice period. Keep the expiration date, renewal date, and renewal cancellation deadline distinct so the team can see when a decision is needed.
Assign the responsible person and review the notice wording alongside the tracked dates. Calendar views and reminders help teams prepare a decision before the service continues. A reminder does not deliver a cancellation notice: retain evidence of any communication required by the agreement.
03
Bring requests through a clear approval route
A new supplier request should arrive with enough context for purchasing and legal to act. Use Contract Portal intake to gather the business need and an existing document, or begin company wording from a Word template. Choose the reviewers and approval stages that fit the agreement.
Review proposed Word changes, compare saved versions, and move the selected wording toward signing. Contract Map keeps the relationship between the document, approval, signing, obligations, and dates visible, giving the next person a practical starting point.
04
Track delivery after the signature
A campus services agreement may require training before a term starts, a monthly service report, or an updated insurance certificate. Record those promises as obligations with an owner, a due date, and the relevant clause. Keep completion evidence with the task for later review.
For an initial rollout, choose one department’s active agreements. Import the originals, check extracted details, confirm permissions, and assign owners before expanding. This page describes administrative contract workflows; student records and regulated research information need a separate suitability review.
Questions about education contract management
Can schools import existing agreements?
Yes. Import PDF or Word agreements and review the proposed details beside the original. Search coverage depends on readable document text.
Can different departments use the same workspace?
Workspace roles and document permissions govern participation. Configure and test the access needed for your institution before inviting teams.
Is this a student information system?
No. ContraxAware manages agreements and their workflows. It is not a student records, research administration, or education compliance system.
